HL-using DMs, how do you coordinate PORs with players?

So, with the 5e SRD and community work, I've been able to create my player's characters in HL.

After the last last game, one player was convinced to buy HL. Others give me their character sheets and I intend to update and print a new one each session.

For those DMs who (1) have ALL players using HL and (2) those who have SOME players with HL, what is your workflow?

I'm not using the tactical console yet, but am hoping to once the rest of the monster manual is added (I'm getting okay at creating monsters in the editor but am not going to add MM monsters knowing that they'll be released soon). Beside the tactical console, I like having copys of the players update characters, because someone inevitably will lose or forget their character sheets. Also makes it easy to manage passive-skill checks.

My workflow now is:
1. Players with HL e-mail me their POR files.
2. Players w/o HL: I print character sheets from HL for them to use at table and printout a new one after enough changes have been made to the paper.

For groups where everyone uses HL, DM & all players, is there a way to keep things synced up?

I'm not trying to use HL as a VM. I prefer players track their own hitpoints, spell points, condition effects, etc. But I do want to make sure I have current stats, equipment, skills etc.
 
We have a shared Dropbox folder where some players put their POR files.

It is a manual action for the GM to collect the updated PORs to import the characters into a "Party" POR file.

You need a VTT if you want hit points and similar adjustments to automatically sync across multiple devices during a game session.
 
Since I do use the Tactical Console, the player who doesn't use Hero Lab coordinates with another player who does, and I either get updated portfolios via e-mail before the session or flash drive at the start, and I do a party portfolio from that.
 
I usually take any complete form of the characters at the start of a campaign, and then just do any updating myself at the end of the sessions. Fortunately, most of the games I run use systems that have small iterative changes, so its not usually a big deal to do that.
 
There aren't really .por issues for our group.

Players build their own characters and forward me the information.
I input the information into Hero Lab, to ensure characters are 'legal'... that things are stacking correctly.

I print character sheets.

This is pretty much going to be my approach, except for those players that do have HL. For them, I'll just exchange POR files. But for most of the players, I just print the Charactersheet before the session.
 
Just to add. My group uses YahooGroups to communicate, keep a game schedule, and give the group a central place to store files. Each player uploads there .por file to the group each time they level. Then the DM has access to anyone's character at any time.

Google groups I think are the same and are free. YahooGroups has just been around longer and its what we I am familiar with.
