Managing outdated / old info?

Hi Folks,

I'm looking for some pointers on how to manage old / out of date information & thought somebody here has probably come up with a solution.

For example: we're running Kingmaker & have recently claimed Fort Drelev. The information I entered into RW is about Fort Drelev under the rule of the founder as per the adventure path. However the PC's have slain the bad guys, looted the taverns, drunk all the treasure etc etc... :) So much of the info I've entered is out of date / all but useless.

I don't want to delete the now superseded data and putting "Out of Date" at the top of snippets seems too tedious & dumb.

Creating duplicate topics doesn't seem right either as I'd get multiple topics to link to, plus the existing links would be pointing to the old data.

EDIT: I'm thinking it'll be something to do with the tags.

So does anybody have any ideas on how to handle old / updated data?

Duplicate it, and rename the old one with a date and tag it as "outdated". Then make your edits to the new one.

Then they all show up alphabetically and in date order, and you choose "Fort Drelev", rather than "Fort Drelev 73-99 AD" or "Fort Drelev 99-105 AD".

You could also then use a Filter to say "NOT Outdated" to only show you the most recent versions of everything. (Scope doesn't allow you to use "NOT" for some reason that escapes me).
 
Duplication is sub-optimal in my opinion, for a variety of reasons including the linking issue. I recommend creating a new custom section at the bottom of the topic and calling it "Pre-Sacking" (or something else that makes sense to you and your players). Then move all the out-dated snippets down into that section. You'll still have them available for historical reference, but they'll be otherwise out of sight at the bottom of the topic.

I've gone with Robs' suggestion & created a section called "Pre-Stagfell" (that's our kingdom name) & moved the out of date sections as sub-sections of the new one.

I didn't realise sub-sections existed until now.

I've added a really broad "status" tag to NPC's so I can identify healthy, missing, deceased, presumed dead, kidnapped, etc. That might be usable here too.
